Testing Accommodations | Accessibility & Accommodation

The TPP, Suite D testing site in Hillsboro is only staffed when exams are scheduled. The OAA Services staff offices are located on the Forest Grove campus, Clark Hall, 2nd floor, rooms 226, 227, & 227A. Our exam facilitation hours are Monday–Friday from 8 AM–5 PM, with extended hours during Arts & Sciences final exams.

Testing accommodations are offered to eligible students who experience barriers or limitations in regards to test-taking. This can include, but is not limited to: timed-assessments, or online-based exams; visual barriers, hearing barriers, and/or different or overlapping learning styles. Students can review potential Testing Accommodations outlined on our Services webpage. OAA does not proctor make-up exams for non-OAA clients. Please work with your program and/or Dean/Program Director for non-OAA client makeup exams.


How to schedule exams with OAA

This process is for OAA clients who have testing accommodations such as: extended time, low-distraction testing room, private/separate testing room, and/or exam reader.

Please refer to the Instruction GuideInstruction Video, and directions below for support booking exams in your Accommodate student portal. 

  1. Log into Accommodate and navigate to the right hand menu and go to "Exam Requests"
  2. Click "New Booking Request"
  3. Select the course
  4. Change the date range to the day of the exam
  5. If you know the length of your exam, select "Yes" for "Override Course Length" and enter the time without accommodations
  6. If your exam takes place on a day outside of the schedule class day or time please select "Yes" for "Final/Other Schedule"
  7. Click "Check Availability"

Tests may not be booked within four days prior to the exam. We encourage students to book their exams two weeks in advance. If you attempt to book within four days of the exam, no options will appear.

You will receive an exam confirmation notification one week prior to your exam with the time and location.

OAA Proctoring Procedure

OAA Facilitation Space: Doors open 15 minutes before a student’s scheduled exam

Prior to the Exam Day

Students requesting testing accommodations will have submitted requests through their student Accommodate portal. Confirmation of their testing location, time, and accommodations will be sent to them and their faculty once approved by OAA.

OAA strives to approve exam requests and communicates next steps with the student and faculty 4-7 days in advance of the exam. In infrequent instances, OAA may approve a last-minute exam request with fewer than 4 days in advance of the exam. In those situations, OAA will communicate as promptly as possible with the student and faculty to ensure all is in place before the exam occurs. OAA strongly encourages students with exam accommodations to place their testing requests at least two weeks in advance of the exam.

Faculty are responsible for uploading their exam materials to Accommodate at least 24 hours prior to the exam time. Instructions for how to upload exam materials can be found on the Approved Test Room Booking Request email faculty receive and OAA web page under Faculty “Viewing Accommodation Notices & Adding Exams in Accommodate”

In instances where a student’s testing request cannot be accommodated by OAA in a testing center, OAA will communicate with the student and faculty about alternative arrangements.

Setting up for the Exam

OAA staff greet each student and assign a secured locker space that is monitored during the duration of the exam.

OAA staff will attend a student to their testing space.

Students are permitted to bring food/water unless instructed not to do so by their instructor into their testing space. OAA staff will ask students to open their bottles or food containers that are not transparent for exam integrity.

OAA staff will ask the following questions prior to the exam beginning:

 

  1. Did you put all personal devices including your cell phone away in the secured space? a. OAA staff must wait for a “yes” from student
  2. Do you feel all your accommodations are being met before you begin this exam? a. OAA staff must wait for a “yes” from student
      a. If student says “no” we confirm student’s accommodations and work rapidly to provide the approved and reasonable accommodation
  3. Would you like a 10 - minute warning before your exam concludes?

During Exam

OAA staff monitor students regularly, looking into the testing space at least every 15 minutes. OAA staff must have visual access to the space for proper monitoring.

Some students may have additional accommodations related to testing that require additional steps by OAA staff.

One example: if a student is permitted breaks during the exam, OAA would take extra steps to facilitate the break and monitor the student during the break.

Conclusion of the Exam

If the student has requested a courtesy reminder before their exam time is complete, staff will provide a 10-minute notice before the exam time runs out.

For students taking paper based exams, upon completing OAA staff will gather documents and place them in a sealed envelope with initials. OAA staff will follow faculty Accommodate instructions on how they would like the items delivered.

Any used scratch paper or approved memory aids will be collected. We ask every student to write their name on their scratch paper. OAA discards collected scratch paper after one semester.

Academic Misconduct

During monitoring, if OAA staff believe they are witnessing academic misconduct, OAA will walk into the test space unannounced and express what they are seeing.

The exam will stop and the student will be asked to remove any unpermitted item(s) from the testing space. OAA staff will express to the student the next steps:
     a. Student is notified that OAA staff will be alerting the student's faculty, Dean of the respective school, and Dean of Student Development and Campus Living Lindsey Blem of the alleged academic misconduct
          i. Student will be cc’d on email
     b. Student can return back to their exam without the unpermitted item(s); or,
     c. Student can stop the exam
     d. Student is alerted that regardless, the decision on the next steps with the exam will be determined by the course instructor

After the exam, OAA staff will send the aforementioned email as soon as possible, and will follow up with the same group with a more detailed Incident Report (IR). The IR is then stored in the students Accommodate file.

Arriving to Non Approved Testing Space

In the event a student arrives at a testing space that they were not approved for, OAA staff will connect with the faculty to determine a plan for the student. OAA can not guarantee a space without adequate
planning. Students and faculty receive an email from our automated Accommodate system one week prior to the exam when possible if OAA can facilitate.
